Booking Terms, Cancellation Policy & Travel Conditions

Thank you for choosing The Himalayan Monks.

Our aim is to provide every traveller with a safe, comfortable and memorable travel experience. Kindly read the following Terms & Conditions carefully before confirming your booking. By making a booking with The Himalayan Monks, you acknowledge that you have read, understood and agreed to all the terms, conditions and policies mentioned below.

 

📄 Documents Required

To ensure a smooth travel experience, all travellers must provide valid Government-issued identification at the time of booking.

 

Indian Nationals

Please provide any one of the following:

  • Aadhaar Card

  • Passport

  • Voter ID

  • Driving Licence

 

Mandatory Requirements

  • ID Type and ID Number must be shared at the time of booking.

  • Guests must carry the same original ID throughout the tour.

  • A passport-size photograph may be required at certain destinations.

  • PAN Card copy may be requested wherever applicable.

 

NRI & Foreign Nationals

The following documents are mandatory:

  • Valid Passport

  • Valid Indian Visa (where applicable)

  • OCI Card / PIO Card (if applicable)

Failure to provide valid identification may result in denial of services without any refund.

Your booking shall be confirmed only after receipt of the booking confirmation amount.

Important Notes

  • Hotel confirmations, travel vouchers and final travel documents will be issued only after receipt of the required advance payment.

  • Bookings remain tentative until the booking confirmation amount is received.

  • Failure to make payments within the prescribed timeline may result in automatic cancellation of the booking without prior notice.

  • During peak travel seasons, festivals or periods of heavy tourist rush, hotels and transport providers may require advance confirmation. In such cases, guests may be requested to clear payments earlier than the standard schedule to secure confirmed services.

Token Amount Policy

The booking confirmation (token) amount is strictly non-refundable.

However, the amount shall be converted into a Credit Note, which:

  • Shall remain valid for 1 Year from the date of cancellation.

  • May be utilised for any destination offered by The Himalayan Monks.

  • Is transferable and may be used by a family member or friend.

 

Booking Amendments

Any request after booking confirmation including:

  • Travel date changes

  • Hotel changes

  • Vehicle changes

  • Room upgrades

  • Pickup or drop changes

  • Addition or removal of travellers

  • Itinerary modifications

shall be subject to availability and may attract additional charges imposed by hotels, transport providers, airlines or other vendors. All such charges shall be borne by the traveller.

 

Force Majeure

No refund, compensation or claim shall be applicable in case of cancellation, delay, itinerary modification, accommodation change, transport change or non-operation of any service due to:

  • Natural calamities

  • Snowfall

  • Landslides

  • Floods

  • Heavy tourist rush or unexpected crowd

  • Traffic congestion

  • Road closures

  • Government restrictions

  • Political unrest

  • Pandemic-related regulations

  • Weather conditions

  • Operational requirements

  • Any unforeseen event beyond the reasonable control of The Himalayan Monks.

Similarly, if any sightseeing, activity or service is cancelled, delayed or modified due to any of the above reasons, no refund or compensation shall be payable.

 

📜 Terms & Conditions

1. Code of Conduct

Guests are expected to maintain discipline and behave responsibly throughout the tour.

The following are strictly prohibited:

  • Consumption or possession of narcotic drugs or banned substances.

  • Carrying weapons, firearms, fireworks or hazardous materials.

  • Misbehaviour with fellow travellers, hotel staff, drivers or local representatives.

  • Any activity that violates Indian law.

The Himalayan Monks reserves the right to remove any traveller from the tour without any refund if their behaviour is found inappropriate or against company policies.

 

2. Guest Safety

The Himalayan Monks takes all reasonable precautions to ensure a safe travel experience. However:

  • Travellers are responsible for their own personal safety.

  • The Himalayan Monks shall not be responsible for illness, injury, accidents or medical emergencies during the tour.

  • Guests travelling outside designated accommodation or activity areas shall do so entirely at their own risk.

 

3. Personal Belongings

The Himalayan Monks shall not be responsible for any:

  • Loss

  • Theft

  • Damage

  • Misplacement

of luggage, valuables or personal belongings during the tour.

Guests are advised to keep all valuables secure at all times.

 

4. Damage to Property

Any damage caused by the traveller to hotels, camps, vehicles, tents, mattresses, furniture or any other property shall be recovered from the traveller at the prevailing replacement or repair cost.

 

5. Accommodation Policy

Only guests with confirmed bookings shall be permitted to stay at the accommodation arranged by The Himalayan Monks.

Outside visitors shall not be permitted without prior approval.

 

6. Accommodation Changes

While every effort is made to provide the confirmed hotel, The Himalayan Monks reserves the right to change the accommodation to another hotel of a similar or higher category due to:

  • Hotel overbooking

  • Heavy tourist rush

  • Peak season occupancy

  • Operational issues

  • Vendor-related issues

  • Government restrictions

  • Maintenance work

  • Safety concerns

  • Force Majeure situations

Such changes shall not be considered a deficiency in service and shall not entitle the traveller to any refund or compensation.

 

7. Sightseeing & Itinerary Changes

The itinerary, sightseeing schedule, sequence of visits and routes are subject to change without prior notice.

The Himalayan Monks reserves the right to modify, rearrange, replace or cancel any sightseeing, route, activity or destination due to:

  • Weather conditions

  • Heavy tourist rush

  • Long waiting queues

  • Traffic congestion

  • Road closures

  • Snowfall

  • Landslides

  • Government restrictions

  • Local authority regulations

  • Operational requirements

  • Safety concerns

  • Any unforeseen circumstances

Such modifications shall not be considered a deficiency in service and shall not entitle the traveller to any refund or compensation.

 

8. Daily Sightseeing Timings

To ensure timely completion of the itinerary, all guests are required to follow the daily sightseeing schedule.

Standard Sightseeing Timing: 09:30 AM to 06:00 PM (unless otherwise instructed by the Tour Manager).

If any guest delays departure from the hotel or fails to report on time:

  • Sightseeing duration may be reduced.

  • Certain sightseeing points may be skipped.

  • The Tour Manager reserves the right to modify or cancel sightseeing in order to maintain the schedule for all travellers.

The Himalayan Monks shall not be responsible for sightseeing missed due to delays caused by guests.

During weekends, festivals, public holidays or peak tourist seasons, heavy traffic and tourist crowds may increase waiting time at sightseeing locations. In such situations, sightseeing may be modified, rearranged or skipped to maintain the overall itinerary.

 

9. Transport Policy

In case of:

  • Vehicle breakdown

  • Heavy traffic congestion

  • Heavy tourist rush

  • Road blockage

  • Weather-related delays

  • Diversions imposed by local authorities

Guests are requested to cooperate with the Operations Team.

Replacement vehicles may not always be immediately available.

No compensation shall be payable for delays arising due to circumstances beyond the control of The Himalayan Monks.

 

10. Volvo & Tempo Traveller Seating

Seat numbers in Volvo buses, Tempo Travellers or any other shared transport cannot be guaranteed at the time of booking.

Seat allocation depends entirely upon:

  • Availability

  • Booking sequence

  • Transport operator policies

  • Vehicle arrangements

  • Operational requirements

Similarly, Volvo departure timings are decided solely by the transport operator and may change without prior notice.

During peak travel seasons or periods of heavy tourist rush, transport operators may also change the coach, boarding point, departure time or seat allocation due to operational reasons.

Such changes shall not be considered a deficiency in service on the part of The Himalayan Monks.

 

11. Adventure Activities

Adventure activities including trekking, rafting, skiing, camping, paragliding and similar activities are subject to:

  • Weather conditions

  • Government permissions

  • Local authority approvals

  • Safety guidelines

If cancelled due to safety or operational reasons, no refund shall be applicable.

 

12. Bonfire & Musical Night

Bonfire, DJ and musical evenings are subject to:

  • Hotel policies

  • Local authority permissions

  • Weather conditions

Availability cannot be guaranteed.

 

13. Delays

The Himalayan Monks shall not be responsible for delays caused by:

  • Heavy traffic

  • Tourist rush

  • Weather conditions

  • Road closures

  • Mechanical failures

  • Natural calamities

  • Government restrictions

  • Political disturbances

  • Strikes

  • Any unforeseen event beyond our reasonable control.

 

14. Reporting Service Issues

If a traveller experiences any issue relating to:

  • Hotel accommodation

  • Room cleanliness

  • Transport

  • Driver behaviour

  • Vehicle condition

  • Meals

  • Promised inclusions

  • Sightseeing

  • Or any other service-related concern,

The issue must be reported to The Himalayan Monks immediately at the time it occurs, without any unreasonable delay.

Wherever possible, the traveller must also share clear photographs, videos or other supporting evidence to enable our Operations Team to verify the issue and coordinate with the concerned hotel, transport provider or vendor for immediate corrective action.

The Himalayan Monks will make every reasonable effort to resolve the issue during the tour itself.

Any issue that is not reported immediately when it occurs and is raised only after the service has been completed or the tour has ended shall not be considered for investigation, refund, compensation or any other claim, as the company will not have had the opportunity to verify the concern or take appropriate corrective action at the relevant time.

Timely reporting of any issue is mandatory and is a prerequisite for any service review or claim.

 

15. Vendor & Third-Party Services

Hotels, transport providers, activity operators, airlines, Volvo operators and local vendors are independent third-party service providers.

During peak season or periods of heavy tourist rush, hotels and transport providers may face operational constraints resulting in changes to room allocation, sightseeing schedules, transport arrangements or waiting times.

While The Himalayan Monks carefully selects its partners, such operational changes shall not constitute a breach of contract. We will make every reasonable effort to minimise inconvenience and provide suitable alternatives wherever possible.

 

16. Environmental Responsibility

Guests are requested to:

  • Maintain cleanliness.

  • Avoid littering.

  • Respect local culture and traditions.

  • Protect nature and wildlife.

  • Cooperate in preserving the environment.

 

17. Medical Fitness

Travellers are solely responsible for ensuring that they are medically fit for the tour.

Guests with any pre-existing medical condition are advised to consult their doctor before travelling.

The Himalayan Monks shall not be responsible for complications arising due to undisclosed medical conditions.

 

18. Acceptance of Terms

By confirming a booking with The Himalayan Monks, every traveller confirms that they have:

  • Read

  • Understood

  • Accepted

all booking conditions, payment policies, cancellation policies and travel terms mentioned herein.

 

⚠ Fraud Awareness

To protect our guests from financial fraud:

  • The Himalayan Monks will never request payment to a new or different bank account without official written communication.

  • If you receive any request via phone call, WhatsApp, SMS or email asking you to transfer funds to a different account, kindly verify the authenticity with your designated Account Manager before making any payment.

  • The Himalayan Monks shall not be responsible for any financial loss arising from payments made to fraudulent accounts without prior verification.
